We are currently searching for a highly motivated Project Assistant to join our San Mateo, CA team. The ideal candidate will have 3-10 years of related experience and strong computer skills. Candidates must be extremely organized, self-reliant, proactive, and detail oriented.The ARCO enterprise completed $1.2B in revenue in 2016 and is on pace to continue exceptional growth in 2017.  ARCO is currently #28 on the ENR top 100 design/build firms list. Responsibilities

  • Proofread, format and bind proposal and presentation documents per company standards

  • Create and/or format presentations for (internal) training and (external) marketing use

  • Prepare forms and applications (permit applications) per project requirements

  • Draft and distribute PSAs, Subcontracts, Purchase Orders, Change orders

  • Review and enter Certificates of Insurance; ensure vendor compliance with contract documents throughout duration of project

  • Generate and maintain project files, electronic and paper copies

  • Update drawing logs, coordinate the reproduction of drawings and ensure the distribution of drawings/log to necessary team members

  • Prepare project managers for meetings; generating and printing documents, prepare room with necessary technology, make appropriate accommodations such as lunch orders

  • Request, gather, and compile closeout documents per project requirements

  • Order office supplies and maintain office equipment

  • Make travel accommodations; including hotels, flights, temporary housing and/or entertainment accommodations for others

  • Event Planning and coordination of office and client events

  • Manage and generate employee expense reports

  • Daily communication with supervisors, project managers, peers, clients, subcontractors/vendors

  • Answer incoming phone calls and coordinate communication with vendors and customers

  • Greet clients and visitors, provide refreshments if appropriate
  • Open, sort and distribute incoming mail
  • Process outgoing mail as well as overnight, express packages, courier deliveries

  • Check general office voice mail for all messages and distribute

Qualifications

  • 3-10 years of related experience
  • Construction administration experience considered a plus
  • High School Diploma or equivalent
  • Associates Degree is preferred 
  • Excellent computer skills, must be proficient in Microsoft Word and Excel
  • Must be extremely organized, self-reliant, proactive, and detail oriented
